Courses & seminars

The add-on is suitable for:

  • Courses and workshops (e.g. sports courses, music lessons, open sessions)
  • Seminars and training
  • Events with limited participant capacity
  • Offers where attendance tracking is desired

After the add-on is activated, a new section appears in the main menu for your event series. It provides an overview of all courses and seminars you have created. Each event series groups multiple individual dates under one title – e.g. “Open Sessions”, “Children’s Swimming Course”, or “Monday Yoga”.

Click Edit to open a course and access its individual tabs.

The first tab of a course shows the date overview – a list of all individual dates you have created for this course. Here you can:

  • Create new dates – Create a new booking in a specific resource for a given date and time. The date is automatically added to the list of available dates.
  • View participants – For each date you can see the number of registered participants and open the attendee list.
  • Manage waitlist – If the waitlist is enabled, people on the waitlist are also shown per date.
  • Cancel dates – Via the “Cancel all dates” button you can cancel the entire course. All participants are automatically notified by email.

In the General tab you enter the core information for the course:

SettingDescription
TitleName of the course (e.g. “Open Sessions”, “Children’s Swimming Course”). Displayed on the booking platform.
DescriptionDetailed description of the offering, e.g. included services (“2 adult chaperones included”) or target audience notes.
ImageShown as preview image on the booking platform.
Price per participantSelling price per participant per date (e.g. €14 per child).
Additional detailsFurther information can be added as needed.

Under Settings > Participants you set the participant type:

TypeDescription
ParticipantStandard participant management for individual bookings.
Seminar / courseExtended administration for courses and seminars with additional options.
CoursesEnglish variant for international use.

Participants can be added in two ways:

  • Manually by the manager/user in the administration interface
  • By customers on the booking platform (when the course is published there)

During registration, the customer enters the first and last name for each participant. The number of participants per booking is limited by the Max. participants per booking setting (e.g. max. 3 children per booking).

The participant list shows all registered participants with:

  • Name and contact details
  • Registration status
  • Check-in status (checked in / not checked in)

After each registration, the participant count updates automatically. Other customers see in real time how many spots are still available.

To publish courses on your booking platform, create a dedicated seminar and course booking widget:

  1. Navigate to Platform / Widgets and click Add.
  2. Select the widget type Seminar and course booking.
  3. Enter a title and description.
  4. Activate the widget and choose whether it should be visible as a tile on the booking platform.

When the widget is made available on the platform, it appears as a separate tile with title and description – alongside the regular booking widgets.

Each widget has its own URL that you can use independently of the booking platform – e.g. in emails, on your website, or in social media posts. This lets you link customers directly to a specific course offering.

When a customer opens the seminar and course booking widget on the booking platform, they see:

  1. Course overview – All available courses and seminars with title, image, and short description.
  2. Course details – After clicking a course: full description, venue, price per participant, and a list of all upcoming dates.
  3. Available spots – Per date, the number of remaining spots is displayed (if the Participant count public option is enabled).
  4. Book a date – The customer selects a date and adds their participants (first and last name per participant, limited by the “Max. participants per booking” setting).
  5. Complete booking – After registration, availability updates immediately for other customers.

Participants can receive a PDF ticket by email (if enabled in the advanced settings) that can be scanned on-site. Under Settings > Participants you can define whether tickets should still be scannable after check-out (Ticket scannable after check-out).

The add-on extends communication with participant-specific emails:

  • Participant confirmation – confirmation of registration
  • Participant cancellation – information when someone cancels
  • Course reminder – reminder before the course date

Email texts can be customised under Settings > Emails.

In the Communication tab of a course/seminar you can send emails directly to all participants:

  1. Enter the subject.
  2. Select a date – only participants attending on that date will receive the message.
  3. Compose the message.
  4. Choose the recipients: all participants or waitlist only.
  5. Click Send message.

The right-hand column shows a log of all messages sent so far.
