Go-live checklist
Before making your booking platform publicly accessible, you should systematically verify all settings. This article lists the key items to check.
Preparation
Section titled “Preparation”- Create your own customer profile to experience the booking platform from the customer’s perspective.
- Create test bookings and process them as a manager (approve, decline, cancel).
- Check under Settings > Platform / Widgets that images, logos, headings, and descriptions match your expectations.
Checklist

| Availability | Are booking rights defined per customer group (e.g. request for all, direct booking only for clubs)? |

| Booking rules | Are lead times, min/max duration, and booking buffers configured? |
| Tariffs | Are prices set for all resources and customer groups? |
| Email templates | Are email templates customised (confirmations, reminders, cancellations)? |
| Cancellation terms | Are cancellation terms configured (if desired)? |
| Widget access | Is the desired login method configured (with/without registration, with/without manager approval)? |
| Platform settings | Are logo, colours, legal notices (terms, privacy policy, withdrawal) and success messages reviewed? |
| Customer registration | Are registration fields and the default customer group correctly configured? |
External communication
Section titled “External communication”Plan how to make customers and citizens aware of the booking platform:
- Website – platform link or embedded widget on your homepage
- Press release – online or in the local newspaper
- Social media – e.g. Facebook, Instagram
- Direct invitation – invite existing customers to the platform via bulk invitation
Inviting customers
Section titled “Inviting customers”You have two options:
- Invite in advance – create customers in the system and invite them to the platform before going live.
- Self-registration – customers register themselves on their first visit to the platform. Depending on widget settings, manual approval by a manager may be required.
- Soft launch: Initially enable the platform for just one customer (e.g. a club) before gradually adding more.
- Deactivate: If the platform is already live, you can deactivate the link at any time, make adjustments, and re-enable it later.
