Booking platform from the customer’s perspective
Overview of the booking platform
Section titled “Overview of the booking platform”The booking platform is the central hub for your customers. Depending on your setup, customers see:
- Logo and welcome text for your organisation (top left)
- Widgets – booking options such as calendar booking, request form, or calendar view
- Resources – all available halls, rooms, or pitches with image, description, and categories
Finding and filtering resources
Section titled “Finding and filtering resources”Customers can browse and filter the available resources on the platform:

| Time range | Narrow down the desired time (from – to). |
| Duration | Specify the desired booking duration. |
| Categories | Filter by categories (e.g. sport type, room type). |
After filtering, only resources that are available in the selected period are shown.
Resource detail page
Section titled “Resource detail page”By clicking a resource, customers open the detail page with:
- Title and description of the resource
- Image of the resource
- Tags (e.g. “Changing rooms/showers”, “suitability for sport”)
- Opening hours on the tab of the same name
- Contact – location and contact person
- Uploads & media – documents for download (when media manager is enabled)
Registration and login
Section titled “Registration and login”Customers sign in with email and password. The forgot password function can be used to request a new password.
Registration
Section titled “Registration”Depending on widget configuration, different registration options are available:

| No login required | Customers can book without logging in (guest booking). |
| Registration without confirmation | Customers register and get immediate access. |
| Registration with confirmation | Customers register but must be activated first. |
| Login only | Only existing customers can sign in—no new registration. |
On registration, the fields configured under Settings > Customer registration are requested.
Login on a new device
Section titled “Login on a new device”When two-factor authentication is enabled, customers receive a confirmation code by email when signing in on a new device.
Creating a booking
Section titled “Creating a booking”Booking in the calendar widget
Section titled “Booking in the calendar widget”- Select a resource – In the calendar, choose the desired resource and period.
- Click and drag – In the calendar, click the desired start time and drag to the end time. The booking sidebar opens.
- Enter details – Booking title and, if applicable, additional details (custom fields such as “youth training”, expected number of people).
- Check resources – On the “Resources” tab, further resource parts can be added or removed. Dependencies automatically add linked resources.
- Inventory and services – If configured, customers can add extra items on the “Inventory” tab and services on the “Services” tab.
- Check price – The “Invoice” tab shows the estimated price.
- Leave a comment – On the “Communication” tab, customers can add notes.
- Save – Click “Save” to store the booking.
Booking via request form
Section titled “Booking via request form”Customers who have access to the request form widget can submit a booking request via a simple form—without a calendar view. There is no automatic conflict check.
Single, recurring, and season bookings
Section titled “Single, recurring, and season bookings”Depending on configuration, customers can choose between:

| Single booking | A one-off booking on a specific date. |
| Recurring booking | Regularly recurring bookings (e.g. weekly training). |
| Season booking | Bookings across an entire season period. |
Completing the booking
Section titled “Completing the booking”After saving, customers are taken to checkout:
- Check billing address – The stored address can be changed if needed.
- Review booking – All booked resources, times, and prices are shown. Individual bookings can still be edited or removed here.
- Requests / book – Depending on configuration, either a booking request is sent (to be confirmed) or a direct booking is confirmed immediately.
Calendar views
Section titled “Calendar views”In calendar widgets, customers see resource availability. Depending on configuration, the following views are available:

| Month view | Compact month overview. |
| List view | Tabular list of bookings. |
Colour coding in the calendar:
- Greyed-out areas – In the past and can no longer be booked.
- Red areas – Outside opening hours.
- Booked slots – Shown as “booked” depending on widget settings or with details (title, customer name, colour).
Which booking information about other customers is visible is configured via public booking data in the widget. Different customer groups may be offered different widgets with different levels of detail.
Managing the customer account
Section titled “Managing the customer account”After login, customers have access to the following areas:
Profile
Section titled “Profile”Under Profile, customers can edit their personal data—e.g. name, address, phone number. A separate billing email address can also be stored here if finance should be notified separately.
Contacts
Section titled “Contacts”On the Contacts tab, customers see other contacts assigned to their company or club. These contacts can also make bookings on behalf of the organisation.
My bookings
Section titled “My bookings”Under My bookings, customers see all their bookings with:

| Kind | Whether it is a booking request or a confirmed booking. |
| Period | Date and time of the booking. |
| Status | Current status (e.g. “Live”, “Pending”, “Cancelled”). |
Customers can switch between upcoming and past bookings.
Invoices
Section titled “Invoices”Under Invoices, customers find all invoices for their bookings:
- Invoice number and date
- Booked resources and amount
- Status (open / paid)
- Option to download the invoice (also as e-invoice when configured)
Under Payments, customers see payments already made.
Downloading files
Section titled “Downloading files”When the media manager is enabled, customers can download assigned files under My account.
Changing language
Section titled “Changing language”Customers can change the platform language themselves if multilingual support is configured.
Logout
Section titled “Logout”Under the Logout tab, customers sign out of the platform.
