Import / Export

Under Settings > Import / Export, you can exchange data between Locaboo and external systems. The page has five tabs: Bookings (↗ open), Customers (↗ open), Spielplus (↗ open), Billing (↗ open), and Ab-Data.

Note

When importing CSV files in Excel, umlauts and special characters can cause issues. Open the file with the correct character encoding (UTF-8).

Bookings

Import

Bookings can be imported via ICS or CSV file.

1. Select the resource to import into
2. Upload an ICS or CSV file – download the sample file to see the correct structure
3. Optionally: Link to an added season – imported bookings are assigned to a season directly

Not all fields are required on import – empty fields remain empty in Locaboo as well. The booking ID is generated automatically and does not need to be supplied. In the Resource title field, enter the exact resource name as in Locaboo.

Export

Bookings can be exported as CSV. Filter the export by categories, resource, and period (from / to).

Customers

Import

Download the sample file first to see the correct column structure. There are no required fields – only fill in the columns you need. Besides CSV, vCard files are supported.

The option Find duplicates and merge detects existing customers during import and lets you update their data instead of creating duplicates.

1. Download the sample file and follow the column structure
2. Check the default customer group – it determines which customer group imported customers are assigned to
3. Upload a vCard or CSV file

Tip

Create a separate import file per customer group and adjust the default customer group before each import. Test the import with 2–3 customers first before uploading all data.

Export

Export format	Description

Spielplus / DFB Net

Use the Spielplus tab to import match schedule data from DFBnet. Upload the Spielplus file and click Import.

Automatic schedule import

For automatic import, assign each resource the venue number from DFBnet: Resources > [Resource] > Settings > Area number. Locaboo then creates bookings automatically for all matches in that resource. Schedule updates are applied automatically as well.

Tip

Export data from Spielplus periodically and import it into Locaboo to update existing bookings. Schedules are matched automatically by resource number.

Billing

Invoice data can be downloaded as an export. Filter the period with the date filter (from / to) – filtering uses the invoice creation date. Use Preview mode to review the export before downloading.

Financial interface (add-on)

If the Financial interface add-on is booked, an extra tab appears with the name of the respective interface (e.g. Ab-Data, Infoma, or similar). Billing data can be exported in the format of the connected financial system.

The date filter uses the invoice creation date. Preview mode lets you check the data before export. Depending on the interface, additional settings are available to configure export parameters.
