Bookings

Under Bookings you manage all bookings for your account. Open the area via Bookings in the left navigation: Bookings (↗ open) and Booking requests (↗ open).

The booking overview lists all bookings in a table. You can:

  • Enter a period within which bookings should be shown
  • Use the search field in each column to search for specific content
  • Sort columns alphabetically (ascending/descending)
  • Use the three-dot menu (⋮) on the right: choose columns, export, print

Use column selection to choose which data is shown via drag and drop. Besides standard fields, all custom fields, services, and inventory are available as columns.

All bookings shown in the list (with the selected columns) can be exported as a CSV file or printed directly.


Every booking in Locaboo has a status:

Bookings are shown in colour in the calendar. The colour is determined in this order:

  1. Individual booking colour (in the booking sidebar > Settings)
  2. Customer group colour (as soon as at least one customer group has a colour)
  3. Customer colour (assigned automatically when created)
  4. Default colour (if none of the above is set)

The border of the booking also indicates status:

You configure the colour scheme (Modern or Classic) under Settings > Calendar.


You create new bookings in the calendar. Click a free time slot or use the + Add booking button. Full details are under Booking sidebar.


Besides single bookings, Locaboo supports two types of series:

  • Recurring bookings – a booking with start and end date and a fixed interval (daily, weekly, monthly, or custom).
  • Season bookings – a booking whose time ranges are taken automatically from a defined season.

Both consist of individual booking instances, which you can view and edit or cancel one by one in the booking sidebar on the List of all bookings tab.


If a resource’s availability is set to booking request, customers first submit a request that you can approve or reject.

You see open booking requests:

  • on the dashboard in the Pending booking requests tile
  • in the booking overview with the Pending status filter

For each request you can:

  • View the request and check all details
  • Confirm or reject the request
  • Change the request (resource, date, tariff, etc.) before confirming

Requests submitted via the request form widget (no calendar view) do not run a conflict check. That widget is especially suited to special requests during closures.


In the list view of the calendar you can use the status filter to show deleted bookings. From there you can restore individual booking instances or entire recurring bookings.


Locaboo logs all changes to a booking so you can see who changed what and when:

  1. Booking sidebar: click the gear icon at the top right and choose Change history. You see all changes including user and timestamp.
  2. Activities (bell icon): search by booking ID to see all activities for that booking.
  3. Communication > Activities: searchable log of all system activities.

Confirmed bookings can be edited by managers and users at any time. Changes are saved directly unless conflicts arise. No new approval process is started.

Whether customers may edit their own bookings later is controlled under Settings > Booking > General > Editing by customers.


Under Settings > Custom fields > Bookings you create extra input fields shown on bookings – e.g. type of use, expected participant count, or a checkbox for tariff differentiation.

Custom fields appear in:

  • the booking sidebar under Additional details
  • the booking list as selectable columns
  • Statistics when listing individual bookings
