Event manager

An event consists of multiple bookings that can span different resources and time ranges. All bookings belong to the same event and are managed as one connected event.

Example – anniversary celebration:

BookingResourceTime
SetupEntrance hall08:00–10:00
CelebrationEvent hall10:00–16:00
TeardownEntrance hall16:00–18:00

All three bookings belong to the event “25th anniversary celebration”. You can add inventory (e.g. party equipment) or services (e.g. catering) to individual bookings. The system automatically determines the total duration of the event and produces a clear overall bill.

In the event list you see all created events sorted chronologically, with:

  • Event name and date
  • Assigned customer
  • Booked resources
  • Current event status

Click an event to open the event overview. Use the Create event button to create a new event.

The event overview provides a central view of all information for your event. Integrated widgets enable quick actions:

ActionDescription
Add bookingBook additional rooms for the event.
Add inventoryManage required items and materials.
Add servicesBook catering or other services.
Create billingGenerate a quote or invoice for the entire event.
FieldDescription
Event titleCan be edited at any time.

Event ownerThe responsible user.
StatusAssigned automatically by the system.

All existing bookings for the event are shown in a table. Via the three-dot menu you can add inventory or services per booking or remove the booking from the event.

The event manager includes integrated task management. You can create, assign, and track to-dos for your event.

Recurring task lists can be saved as templates and reused for new events—for example a standard checklist for event setup.

For each event you can add notes and checklists—for internal coordination, special requests, or organisational notes.

From the event overview you can generate a quote for the entire event. All bookings, inventory, and services are combined.

Billing (invoice) for an event is also created centrally from the event overview. All cost items for the event flow into one total invoice.

In an event’s settings area you can delete the event—as long as no billing has been created yet.
